Administrator
(part-time, 24 HOURS)
This role focuses on providing effective administration to the needs of the Future Steps clinic. This role includes managing the day-to-day operations of the clinic, including appointment booking, attendance monitoring, and liaising with parents and professionals.

Working Days:
Tuesday - 8:30 - 5pm
Wednesday - 8:30 - 5pm
Thursday - 8:30 - 5pm
OR
Wednesday - 8:30 - 5pm
Thursday - 8:30 - 5pm
Friday - 8:30 - 5pm

essential Skills & experience
Proven experience in a customer service or administrative role, preferably within a healthcare or social services setting.
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills, both written and verbal.

KEY ROLES
Support the distribution, retrieval, safe storage and preparation of clinical paperwork.
Email and telephone liaison with therapeutic team and external stakeholders around client requirements.
Effective communication and liaison with professionals and parents.
Logistics and client care for assessment and group and individual intervention pathways.
Arranging and monitoring all clinical appointments for clients.
Actioning trigger points of cancellations and DNAs and liaise with funders.
Booking and amending of service appointments using a bespoke database and booking system.
Effective maintenance of client records in line with GDPR and data protection requirements.
Creation of costing documents and packages and liaison with professionals with regards to funding applications and referrals.
Audiotyping of clinical assessment reports (in absence of other team members).
Administrative support to the wider Admin and Clinic teams.
Ensuring a high level of quality control and accuracy of any report, letter, programme or other documentation leaving the company.
Managing timetables effectively to ensure efficient scheduling of therapist’s time and minimise waiting lists.
